Women Win is looking for an ONSIDE Programme Specialist to support the ONSIDE team in administration and grantmaking. Deadline: 20 January 2023.

The mission of the ONSIDE team is to contribute to Women Win’s vision by bringing a feminist lens to everything we do, from the tools we develop and/or update, to our communications, our grantmaking, partner accompaniment and learning. This work also contributes to Women Win’s goal to advance feminist, democratised and decolonised practices by creating purposeful practices that can be replicated globally.

The ONSIDE Programme Specialist will support the ONSIDE team, with a particular focus on administration and grantmaking. The Specialist will support the work around shared governance, participatory grant-making processes, as well as communications with a variety of stakeholders. It is a requirement of this role that applicants have a strong generalist profile enabling them to oversee and carry out project deliverables and cultivate positive relationships with key stakeholders including grantees, women’s rights organisations, and peer panels. This is an exciting opportunity to work on an already established ONSIDE Fund and further contribute to feminist, decolonised methods of working.

The ONSIDE Programme Specialist will report to the ONSIDE Manager and is a core member of the ONSIDE team. 

Core accountabilities

ADMINISTRATIVE, LOGISTICAL & GRANTMAKING SUPPORT (90%)

  • Coordinate communication and foster relationships with partners, grantees, sport for development organisations, women's funds, and women's rights organisations.
  • Organise and provide support for meetings, including scheduling, preparing meeting agenda, taking notes and providing follow up on action items. Manages the logistics of in-person and virtual activities (meetings, webinars, workshops, exchanges and other events) including IT needs for virtual activities (recording, breakout rooms, digital security)
  • Draft and process programmatic contracts (Partners, Contractors etc.)
  • Support the already established grantmaking processes including collecting bank details, maintaining and updating Salesforce, sending contracts (DocuSign), setting up payments and ensuring due diligence processes are completed
  • Manage Box (Women Win's document management system) folders and file structure
  • Schedule and coordinate webinars, meetings and calls for the ONSIDE team including for stakeholders. Manage the IT needs for virtual activities when required
  • Support and coordinate in person events when necessary; e.g., organising hotels, flights and contacting participants and coordinating with partners
  • Coordinate administration processes to hire consultants e.g., purchase orders, contracts for translation, graphic designers
  • Support ONSIDE communications including contributing to the writing of the annual report, copy editing, formatting and uploading documents
  • Creates and maintains work plans for the team and manage deadlines
  • Support deliverables of ONSIDE

MISCELLENOUS

  • Support special projects such as tool/resources development and research to support the general work of the ONSIDE work stream

Education - Experience - Skill requirements

Education: at least a university degree in a relevant field.

Experience: In addition to Admin/Grant-making Specialist level competencies (as described above), the ONSIDE Admin/Grant-making Specialist should:

  • Display solid understanding of international non-profit organisations, grassroots organisations and the women’s rights movement.
  • Exhibit strong interpersonal skills with the ability to convene cross cultural and multi- stakeholder groups, moving them towards shared objectives
  • Be tech savvy and have excellent listening, written and communication skills with the ability to communicate effectively with others, especially digitally and in a remote setting
  • Excellent follow-up skills and understanding of importance of attention to detail, with the ability to meet deadlines, manage competing priorities, and work cooperatively, effectively and accurately under pressure
  • A high level of self-motivation and ease at taking initiative and working independently and as part of a virtual team
  • Experience with grant-making and managing online communities is highly desirable

Travel: Ability and willingness to travel approximately 15% of the time. This includes ensuring availability to attend Women Win in-person team meetings and retreats.

Location: Candidate is expected to work mainly CET hours to be able to connect and work with fellow team members, but home base is flexible.

Working Hours: Full time position (40 hours).

Salary: Commensurate with experience (job band W1).

Languages: English fluency - orally and in writing - required. Arabic is highly desirable. Other languages: French or Spanish are also an asset.
