Freelance Administrator
About the role
We are already working with a professional accountant regarding Corporation Tax, VAT and PAYE but we need help with preparing our accounts and relevant receipts for them, including updating them on Xero.
Additionally, although FFF is currently registered as a Community Interest Company (CIC) we still operate as a Charitable Incorporated Organisation (CIO). The Board of Trustees meet every quarter to review financial spending, priorities, safeguarding and our risk and conflicts of interest registers. This means we often need help with minute-taking and writing up the meeting agenda. CIO registration is a top priority for the organisation so experience with CIO administration is also appreciated.
As a remote team, you need to be a self-starter, although you will have weekly virtual meetings with Barney Weston, one of FFF’s two Co-Directors - and regular interaction with our small team of permanent staff, freelancers and volunteers. You should be based in England and be willing to occasionally travel to London for in-person team meetings (at least once a month).
Key Tasks
Manage the organisation’s financial accounts, currently on Google Sheets but slowly transitioning to Xero.
Complete regular VAT returns for the organisation.
Lead invoicing for the organisation, working with Barney Weston, FFF Co-Director, and Nikolett Palatinus, FFF Project Manager.
Lead administration for quarterly board meetings, including writing the meeting agenda in conjunction with Barney Weston, FFF Co-Director, and Matt Brookland, FFF Chairman.
Person Specification
Essential
Proficient with Xero.
Proficient with preparing for VAT returns.
Proficient with preparing invoices.
Proficient with maintaining basic organisational financial accounts, including sales ledger and purchase ledger.
Familiarity with preparing for an end-of-year Corporation Tax return.
Proficient with the online HMRC Business Tax Account.
Proficient with Google Drive.
Proficient with Google Docs and Google Sheets.
Based in England, willing to travel to London for in-person team meetings at least once a month.
Desirable
Familiarity paying PAYE and VAT fee on the online HMRC Business Tax Account.
Experience working with relevant CIO administration.
Based in London.
